Privacy Policy

This Privacy Policy explains how ReaderReach collects, uses, and protects information connected with this website and its author-outreach services.
1. Information we collect
We may collect information you provide directly, including your name, email address, contact-form inquiries, book information, author biography, campaign preferences, reviews, links, account communications, and files needed to prepare or manage outreach. When you accept a service agreement, we may retain the agreement text and version, acceptance timestamp, checkout session, IP address, and browser information as evidence of the transaction. Contact-form submissions may retain a one-way hash of the submitting IP address for abuse prevention. Hosting and service providers may also collect basic technical information such as browser or app version, device information, IP address, pages visited, and timestamps.
2. How we use information
We use information to respond to inquiries, create and manage campaigns, research appropriate contacts, prepare messages, track replies and follow-ups, provide support, maintain account security, process transactions, improve the service, and meet legal obligations.
3. Campaign information
When you authorize an outreach campaign, relevant information about you and your book may be included in messages sent to selected book clubs, podcast hosts, booksellers, libraries, radio programs, and other organizations. We limit those messages to information intended for campaign use.
4. Analytics and advertising measurement
We use website analytics, including Google Analytics 4 on public marketing and article pages, to understand traffic and improve the site. Google Analytics may process page views, referral sources, browser and device information, and analytics cookies. Our Google Analytics integration excludes account, onboarding, campaign, and staff screens; removes query strings and fragments from page URLs; disables advertising personalization; and respects browser Global Privacy Control and Do Not Track signals. We may also use advertising measurement tools, including Meta Pixel and Meta Conversions API, to understand whether an advertisement led to a checklist request or purchase. When enabled, these tools may receive page and conversion data, browser or device information, IP address, advertising cookies, and one-way hashed versions of information such as an email address or name. ReaderReach does not send its private outreach directory, recipient names, or recipient email addresses to advertising platforms.
5. Service providers
We may use vendors for website hosting, email, account management, analytics, advertising measurement, payment processing, document storage, and other business operations. These providers may process information only as needed to perform services for ReaderReach or as required by law.
AI assistance and your permission
ReaderReach uses the OpenAI API, operated by OpenAI, to provide optional AI help, text improvements, reply drafts, author materials, adaptation and query packages, pitch reviews, and research. Before the first interactive AI request in a browser session is sent, a notice identifies OpenAI and describes the information needed for that action. Choose “Allow for this session” to authorize optional AI actions until that browser session closes, or “Not now” to cancel the request. Permission is not inferred from signing in or accepting our terms, and a new browser session requires a new choice. You can continue using non-AI features when you decline.
Depending on the tool, information sent can include your question and recent assistant conversation; account and campaign status; selected text; author and book details; biography, synopsis, ending summary and selected manuscript excerpts; pitch drafts and instructions; or an incoming reply, correspondent name, original subject, booking link, response templates and earlier reply examples. Author and recipient personal information may appear in that material. Only the content relevant to the requested feature is selected, rather than giving OpenAI access to your whole account or mailbox. Research features can use OpenAI’s web search. Do not include passwords, payment-card details, or sensitive information that is unnecessary for the task.
We send these inputs over an encrypted connection to generate the requested assistance. OpenAI processes them as our service provider under its business terms and data-processing commitments, including confidentiality and security protections. We require service providers receiving personal data to provide protection consistent with this policy. OpenAI’s API data is not used to train its models by default. We request that these interactive responses not be stored as API application state; OpenAI may nevertheless retain abuse-monitoring logs for up to 30 days, subject to its stated exceptions and legal requirements. See OpenAI’s API data controls. We do not promise zero retention.
Generated material returned to ReaderReach may be retained in your workspace when the tool creates a draft or you save it, under our retention policy above. Canceling a later request does not recall information already processed; contact us about deletion or privacy requests. Previously authorized campaign operations are separate from these one-time interactive AI permissions.
6. Selling personal information
ReaderReach does not sell your personal information.
Mobile messaging privacy
Mindful Guidance LLC may send low-volume operational and customer-care text alerts to a designated business administrator who has expressly asked us to enable alerts for a mobile number they control. We use that number and consent record only to provide and administer the requested alert program, respond to support needs, maintain security, and meet legal or carrier requirements.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent will not be shared with any third parties, except providers acting on our behalf to deliver and administer the requested messages or when disclosure is required by law. Consent to receive text messages is not a condition of purchasing any product or service. Reply STOP to cancel or HELP for help. Message frequency varies, and message and data rates may apply.
7. Data retention
We keep information for as long as reasonably necessary to provide services, maintain campaign records, resolve disputes, enforce agreements, meet legal obligations, and support legitimate business operations. Information may be deleted or anonymized when it is no longer needed.
8. Your choices
You may ask to review, correct, or delete personal information you have provided, subject to legal and operational retention requirements. The ReaderReach iOS app includes an account-deletion request in Account & Settings, and requests may also be made using the contact information below. You may unsubscribe from marketing communications at any time. Browser settings and industry opt-out tools may be used to limit advertising cookies.
9. Security
We use reasonable administrative and technical safeguards designed to protect information. No internet transmission or storage system can be guaranteed completely secure.
10. Children
ReaderReach is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
11. Mobile app permissions
The ReaderReach iOS app may request camera or photo-library access only when you choose to attach an image, screenshot, or document to support or your Asset Vault. ReaderReach does not request access to your contacts, location, or microphone. The app does not track your activity across other companies’ apps or websites.
12. Changes
We may update this Privacy Policy as the website, mobile app, and services change. The updated version will be posted here with a revised date.
